Privacy policy

We take your information very seriously.

This privacy policy, written in accordance with the General Data Protection Regulations (May 2018), tells you what to expect us, London Basketball Nation ltd (“LBN”, “we” or “us” from now on), to do with your personal information when you make contact with us or use one of our services.

This includes the data we handle in relation to our members and players, including our use of Basketball England’s database system.

The Policy also describes your data protection rights, including a right to object to some of the processing which we carry out.

If the following Terms and Conditions are not accepted in full, you do not have permission to access the contents of this website and therefore should cease using this website immediately. Please read this information carefully.

Scope of the privacy policy

The notice applies to you if you are a player or participant of London Basketball Nation ltd who has registered his/her interest in participating in the sport competitively and/or whose details we have collected from one of our affiliated clubs, schools, colleges, universities or other third-party referral; a coach, technical official or referee/table official who has registered for membership and/or to find out more about the training courses and accreditation services we offer; or a fan, participant or supporter of LBN and its players/teams who has contacted us to purchase any of our online merchandise and/or signed up to receive updates about upcoming events, offers and ways to get involved further with London Basketball Nation.

This privacy policy applies to the use we make of the data collected or provided by you in relationship to your use of our website.

This site can provide links to other websites. We are not responsible for the content of those websites. The policy does not extend to any website that can be access from this website, that includes links to social media websites.

Online Registration System

Users of the LBN online registration system do so in accordance with LBN privacy policy. Users of Basketball England online registration system do so in accordance with the Basketball England Privacy and Data Protection policy.

Use of your data

  • London Basketball Nation Ltd uses your personal data to manage and administer your membership and your involvement with its teams and club and to keep in contact with you for these purposes.
  • Some data is shared with London Basketball Region - Basketball England, and Basketball England, who use your data to regulate, develop and manage the game.
  • Our teams, table officials, referees, coaches and players must be licensed with Basketball England, therefore, Basketball England will receive some of your data in order to provide you with a Basketball England membership.
  • Where we rely on your consent, such as any consent we seek for email marketing, you can withdraw this consent at any time.
  • Amongst the data we collect from you may be medical (including injury) information. We will hold this where you (or your parent) have given consent so that we can ensure we are aware of your condition and can that you are supported appropriately.
  • Where you work in a particular role within the game, you may be required to undergo a Disclosure & Barring Service check using the service that Basketball England provides through GB Group Online Disclosures. The result of this check will be input into your personal record on Basketball England’s database system (where appropriate)

Data collected by us

We collect and process personal data from you when you join and when we carry out annual renewals of your membership. This includes:

  • your name
  • your gender,
  • your date of birth,
  • your LBN membership number and/or user name;
  • your Nationality
  • your Basketball England membership number
  • your height
  • your weight
  • your Prefered Jersey Number
  • your picture
  • your Address, including street number, street name, postcode and country
  • your emergency contact name, relationship with you and phone number,
  • your passport and NI details, where we have to check your eligibility or ability to work for us;
  • your type of membership and involvement in particular teams, or any key role you may have been allocated, such as Chair, Safeguarding Lead, Membership Secretary etc.;
  • your payment and/or bank account details, where you provide these to pay for a membership, or any special event or service provided by LBN;
  • your marketing preferences, including any consents you have given us;
  • your medical conditions or disability, where you provide this to us with your consent (or your parent’s consent) to ensure we are aware of any support we may need to provide to you.
  • any information you submit on LBN Courts, such as but not limited to reviews, comments, pictures, scores, court locations.

Some information will be generated as part of your involvement with us, in particular, data about your performance, involvement in particular matches in match reports and details of any disciplinary issues or incidents you may be involved in on and off the pitch, such as within health and safety records.

Keeping you safe

Access to your account is controlled by an unique username and password. Also, your data is stored in secure servers.

Any breach of this policy will be treated seriously and may also constitute a breach of the General Data Protection Regulations (May 2018). Any suspected breach of this policy or data breach will be dealt with by LBN’s Data Protection Officer or advisor.

Information received from third parties

Sometimes, we receive information about you from third parties. We may receive information relating to your existing registrations with other clubs or disciplinary history. Additionally, for certain role holders or those working with children, we may receive information from the Disclosure and Barring Service and Basketball England on the status of any DBS check you have been required to take.

We may also receive information from other Local Leagues.

Use of your information

We process this personal data for the following purposes:

As required by us to conduct our business and pursue our legitimate interests, in particular:

  • we will use your information to manage and administer your membership and your involvement with its teams and club, and to keep in contact with you for these purposes;
  • we will use your information to manage and administer your membership with Basketball England if you request us to do so;
  • we will also use data to maintain records of our performances and history, including match reports, score lines and team sheets;
  • we may choose to send you promotional materials and offers by post or by phone, or by email where we want to send you offers relating to similar products and services that you have already bought.

Where you give us consent:

  • we will send you direct marketing or promotional material by email;
  • we may handle medical or disability information you provide to us, to ensure we support you appropriately;
  • When you choose to become a player, a team manager, a referee or a table official in our platform.
  • on other occasions where we ask you for consent, we will use the data for the purpose which we explain at that time.

For purposes which are required by law:

  • we maintain records such as health and safety records and accounting records in order to meet specific legal requirements;
  • we ensure, if the job position requires it, that you have undergone an appropriate DBS check – this is also carried out with your consent.
  • where you hold a role at the Club requiring us to check your right to work, we may process information to meet our statutory duties;
  • we may respond to requests by government or law enforcement authorities conducting an investigation.

Use of your information by third parties

Basketball England provides an online database, but make its own use of the following information:

  • your name;
  • your gender;
  • your date of birth;
  • your Basketball England license number
  • your home address, email address and phone number; and
  • your type of membership and involvement in particular teams at the Club, or any key role you may have been allocated, such as Chair, Safeguarding Lead, Membership Secretary etc.

Basketball England and LBN use this information as follows:

As required by to conduct our business and pursue its legitimate interests, in particular:

  • communicating with you or about you where necessary to administer basketball in England.
  • administering and ensuring the eligibility of players, match officials and others involved in English basketball – this may involve the receipt of limited amounts of sensitive data in relation to disabled players, where they are registered for a disabled league or team, or in relation to anti-doping matters;
  • maintaining records of the game as played in England, in particular maintaining details of discipline, misconduct and safeguarding cases;
  • maintaining statistics and conducting analysis on the make-up of basketball’s participants;
  • ensuring compliance with the current Basketball England Rules and Regulations including those on the affiliation of clubs, local leagues, associations and other basketball bodies, and registration of players; and;
  • communicating with you to ask for your opinion on Basketball England initiatives.

For purposes which are required by law:

  • Basketball England will ensure, where you will work with children and where this is required, that you have undergone an appropriate DBS check – this is also carried out with your consent.
  • Basketball England may respond to requests by government or law enforcement authorities conducting an investigation.

Withdrawing or objecting consent

Wherever we rely on your consent, you will always be able to withdraw that consent, although we may have other legal grounds for processing your data for other purposes, such as those set out above. In some cases, we are able to send you direct marketing without your consent, where we rely on our legitimate interests. You have an absolute right to opt-out of direct marketing, or profiling we carry out for direct marketing, at any time. You can do this by following the instructions in the communication where this is an electronic message at [email protected], or by contacting us using the details set out below in the “Contact us” section on our website.

Sharing your data

Some limited information may be shared with other stakeholders in basketball, such as other clubs, associations, league organisers, so that they can maintain appropriate records and assist us in organising matches and administering the game.

Personal data may be shared with government authorities and/or law enforcement officials if required for the purposes above, if mandated by law or is required for the legal protection of our or Basketball England’s legitimate interests in compliance with applicable laws.

Personal data will also be shared with third party service providers, who will process it on our behalf for the purposes identified above.

Where information is transferred outside the EEA, and where this is to a stakeholder or vendor in a country that is not subject to an adequacy decision by the EU Commission, data is adequately protected by EU Commission approved standard contractual clauses, an appropriate Privacy Shield certification or a vendor’s Processor Binding Corporate Rules. A copy of the relevant mechanism can be provided for your review on request.

Individual rights

You have the following rights

  • Right to be informed: about the collection and use of your data (purposes, retention periods, who it will be shared with, etc.)
  • Right to access: You can make a subject access request to find out what data is held and how it is used.
  • Right to rectification: you have the right to have inaccurate personal data rectified, or completed if it is incomplete.
  • Right to delete or restrict (stop any active) processing of your personal data
  • Right to data portability: this allows you to obtain and reuse your personal data for your own purposes across different services.
  • Right to object: you can object to the processing of your personal data in some circumstances (in particular, where we don’t have to process the data to meet a contractual or another legal requirement, or where we are using the data for direct marketing).
  • Rights related to automated decision making including profiling

These rights may be limited, for example, if fulfilling your request would reveal personal data about another person, or if you ask us to delete information which we are required by law to keep or have compelling legitimate interests in keeping.

You have the same rights for data held by Basketball England for its own purposes.

Please let us know if any of the data you provided us changes.

Much of the information listed above must be provided on a mandatory basis so that we can make the appropriate legal checks and register you as required by Basketball England Rules and Regulations. We will inform you which information is mandatory when it is collected. Some information is optional, particular information such as your medical information. If this is not provided, we may not be able to provide you with appropriate assistance, services or support.

Data retention

We will only keep your data in order to fulfill the organisation purposes outlined in this policy, unless another retention period is required or permitted by law.

Where we process personal data for marketing purposes or with your consent, we process the data for 1 year unless you ask us to stop, when we will only process the data for a short period after this (to allow us to implement your requests). We also keep a record of the fact that you have asked us not to send you direct marketing or to process your data indefinitely so that we can respect your request in future.

We will retain information held to maintain statutory records in line with appropriate statutory requirements or guidance.

Basketball England will maintain records of individuals who have registered on their database, records of DBS checks and the resulting outcomes and other disciplinary matters for such period as is set out in Basketball England’s privacy notice to be set out on www.basketballengland.co.uk

Records of your involvement in a particular match, on team sheets, on results pages or in match reports may be held indefinitely both by us and Basketball England in order to maintain a record of the game.

The information contained on LBN Courts platform is for general information purposes only.

LBN Courts may contain links to external websites that are not provided or maintained by or in any way affiliated with LBN.

Free Agent Portal

Once you register as a Free Agent you will appear on the Free Agent Portal for Team Manager till you withdraw your consent.

Once you register as a Free Agent you will be able to see which teams are recruiting and contact them through our platform.

In order to help our teams, we want to keep our Free Agent Portal as up to date as possible, on that regard we will contact you on the following ways:

  • We will send you an email to your registered email address to confirm your consent stay as a Free Agent if you haven't logged in to our platform in 14 days.
  • We will send you an email to your registered email address to confirm your consent stay as a Free Agent 7 days after the first email if you haven't confirmed your status yet.

If you don't reply to our confirmation emails within 14 days of havinf received the first one, your Free Agent status will be revoked. You can change this at any time in your profile page.

Changes of this policy

We regularly review and, where necessary, update our privacy information. We reserve the right to change or update this policy as necessary or as required by law. If we plan to use personal data for a new purpose, we will update our privacy information and communicate the changes to individuals before starting any new processing.

Changes will be posted on our website. For significant changes to this notice we will try to give you reasonable notice unless we are prevented from doing so. Where required by law we will seek your consent to changes in the way we use your personal information.

Transferring of Data

LBN currently doesn't hold or transfer data outside of the European Economic Area (EEA). If this changes it will be communicated as appropriate and/or any transfers made will be in full compliance with all aspects of the General Data Protection Regulations (May 2018).


This agreement will be governed by and interpreted according to the law of England and Wales.
